How SmartCalendar can comply with GCP Project requirements

AI Usage and Data Sharing Overview:

Our commitment to user privacy and data protection is paramount. In line with Google’s requirements for transparency and user consent, we are providing the following disclosure regarding SmartCalendar use of AI models and data sharing practices.

SmartRecruiters Compliance with Limited Use Requirements

After a careful review, SmartRecruiters complies with the Google API Services User Data Policy and with Limited Use Requirements, but also with the “Limited use of user data”, the Workspace API User Data and Developer Policy.

AI is Not Used in This Project:

We would like to clarify that SmartCalendar does not utilize any AI models. As such, there is no data sharing with third-party AI tools or platforms.

Even if AI is Not Used in This Project:

Even though SmartRecruiters does not have any third-party AI in place and does not share any data, here is an overview of how SmartRecruiters would proceed if it did:

• Send a double opt-in consent email model.
• The candidate would tick a box (not required) stating that they consent to their data being processed by an AI model.
• The checkbox wording would include clear and concise information about the data being shared with third-party AIs.
• After ticking the box, an email would be sent to the candidate for confirmation via a link.
• Once consent is collected, it would be stored for a duration of 12 months.
• After 12 months, the candidate would be asked again via email to reconfirm consent for continued processing and sharing of personal data by an AI.

Data Collection and Sharing:

Our privacy policy outlines the types of data collected and shared with third parties, primarily for the purpose of providing and improving our services. Since SmartCalendar does not employ AI models, the data collected is not used in conjunction with any AI technologies.

User Consent:

Given that no AI models are used within SmartCalendar, there is no requirement to obtain explicit user consent for data sharing with AI models. All user data is handled according to our privacy policy, ensuring that users are fully informed about how their data is managed.

Transparency:

We are committed to maintaining transparency with our users. Should there be any future updates or changes in our data usage practices, including the potential adoption of AI models, we will promptly notify our users to obtain the necessary consents.

As disclosure is a suggestion and not a requirement, and because SmartCalendar does not involve any type of AI, ML, or automated technology in this project, SmartRecruiters would not add a disclosure about AI usage.
